CorpNote enables you to easily autofill a contact's name and company into your eCard and email designs. The 'autofill' feature uses the first name, last name and company from the contacts in your address book and can use alternative text for contacts not in your address book.

This tutorial covers how to autofill a contact's name in the top greeting line of your email and how to insert a contact's name and company anywhere within the body of the email.

How to Use the Top Greeting Option

The top greeting line appears at the top of your email message on both eCards and email layouts. If you have contacts in your address book, the greeting displays your contact's first name; otherwise, the greeting displays alternative text you provide or no additional text if you leave it blank.

  • In the editor – click the 'Top Greeting' button.
  • Salutation – select from our list of commonly used greetings or type your own in the open text box.
  • Autofill Name – check the 'Autofill Name' box to auto-insert the first name for contacts in your address book. Recipients NOT in your address book will see what you type in the ALT text box.

    If you enter text in the ALT box and do not select 'Autofill Name' then all recipients see the ALT text you've entered.
  • Example – if you select "Dear" as the salutation and select 'Autofill Name' PLUS type "Member" in the ALT box, then:
    • a contact in your address book will see "Dear FirstName,"
    • a recipient NOT in your address book will see "Dear Member,"

How to Use the Autofill Name Option

The 'Autofill Name' feature lets you auto-insert the recipient's First Name, First & Last Name and Company Name anywhere in the text of your email message.

The names are inserted as they appear in your address book. What you type in the ALT text box displays if contacts are missing the requested information in their address book entry, or if your recipients are not in your address book.

Step by Step Instructions:

  • In the editor, click the 'Autofill Name' button
  • Place your cursor in the editor where you want the name or company to appear in your email
  • Click the button for 'First Name', 'First & Last Name' or 'Company Name'
  • The appropriate placeholder will be inserted into the editor
  • Optionally, type alternative text that will display for contacts not in your address book

Example:

If your email displays |*First_Name*| - this offer is just for you! and you have typed "To our valued customers" in the 'ALT' text box, then:

  • a contact in your address book will see "Firstname - this offer is just for you!"
  • a recipient NOT in your address book will see "To our valued customers - this offer is just for you!"

Autofill Name Rules:

  • First Name, First & Last Name and Company Name can each appear multiple times throughout your email message. Position your cursor where you want the information to be inserted and then click the appropriate button below to insert it. You can also copy/paste the autofill code after you've inserted your first instance.
  • If you do not enter an ALT option, nothing will be inserted in your email body for those contacts without the requested data.
  • First Name, First & Last Name and Company Name each have their own ALT text options, and those options will be the same no-matter how many times they appear in the body of your message.
  • Names will be inserted exactly how you have them entered in your address book. If a contact name is written in ALL CAPITAL LETTERS, that is how it will be inserted. NOTE: If you need to mass-correct your address book, you can export your data, make your corrections in Excel, and then re-upload your file to update your contacts with the edited information.

  • To see how your autofill information will display in your email, click the "Preview / Save" button. You will see a placeholder for the information that will be autofilled: ie. (autofill company name)
