View/Manage Historic Data keyboard_arrow_right Data Deletion Policy: Cancelled/Terminated CorpNote Accounts

CorpNote memberships are paid month-to-month, and members can come and go throughout the year as they choose. When a member cancels or the membership lapses due to non-payment, the account becomes 'inactive.'

Generally speaking, if a member's account is inactive for 60 days, then all historic account data is permanently deleted. This includes saved and sent email, design templates, uploaded images, address book contacts and all event and survey information.

This tutorial explains how long your data remains in our system if you cancel your membership, or if your membership lapses due to non-payment.

You may request that, upon cancelling your account, all of your data be permanently deleted from your account prior to the 60-day automatic deletion, via our Contact Us form. For accounts that are currently active, you may also use this form to submit customized requests for data deletion.

Membership Cancellation & Data Deletion

  • When you cancel your CorpNote account, or if your account becomes inactive due to non-payment, all historic data, saved content and contact/recipient information will be permanently deleted from your account after 60 days. (If you re-activate your account within the 60-day period, all data will be restored and scheduled / automated email campaigns will resume sending.)
  • When you cancel your CorpNote membership, your account will become inactive on your next membership billing date, not on the date you submit the cancellation form.
  • If you are within the 10-day trial period, and have requested a refund, then your account will become inactive within 24 hours of submitting the cancellation form. At that time, all of your account data will be permanently deleted. (There is no 60-day data retention grace period.)
  • If your monthly membership fee cannot be charged to your credit card on file, due to your card being expired/closed, then you will be given a 7 day grace period to pay the past due amount by updating your credit card information. This can be done in your account: My Account > Billing & Password > Billing Contact: "Change your credit card" or by calling us at 609-406-1665.

After the 7 day billing grace period, your account will become inactive. If you re-activate your account within 60 days of your missed payment, all data will be restored and scheduled / automated email campaigns will resume sending. If your account is not reactivated within this time period, all historic data, saved content and contact/recipient information will be permanently deleted.
  • Customized deletion requests can be made by submitting a Tech Support request via our Contact Us form. For example, if the person managing your CorpNote account changes, you may want to 'start fresh' and have us delete all saved templates, historic email, events, surveys, recipient history or artwork. Custom deletion requests will be responded to within 48-72 hours, and may also require a phone call if questions arise.

Note: If you (or we) delete sent email, events or surveys, and people follow a link to view the deleted content, they will get a message saying the content is no longer available.

How Cancelled/Inactive Accounts Affect Sent and Shared Messages, and other Online Content

  • Once your account becomes inactive, the browser version of all sent emails will no longer display. This will affect email recipients who keep their images turned off and rely on the browser version to view the message, or if you sent animated eCards that require a browser to view.
  • If you sent links to event RSVP forms or online surveys, these pages will display a message saying that the content is no longer available.
  • Your online Subscribe/Unsubscribe pages will display a message saying: "You have chosen to unsubscribe/re-subscribe from an email list that may no longer be active. If you received an email, you may contact the sender with your preferences by clicking 'reply' to the email you received."
  • If you shared a link to a sent email, event or survey in social media, or if you posted a link to CorpNote online content on a website, anyone viewing these links will see a message saying that the content is no longer available.
